1. Introduction

SOS Safety Consulting, LLC ("SOS", "we", "us", or "our") respects your privacy. This Privacy Policy explains how we handle information when you visit our website, submit a form, or contact us.

2. Information We Collect

You can browse this website without creating an account or providing personal information. We only receive information you choose to give us, when you:

• Call us using the phone number listed on the site.
• Email us using the email address listed on the site.
• Submit the "Talk to a Safety Consultant" form or the "Request a Safety Professional" form.

The consulting form collects your name, company, email address, phone number, project location, the type of assistance you need, your required date or timeline, and your project description.

The staffing form collects your name, company, email address, phone number, project location, project type, the position or coverage needed, start date, expected duration, shift or schedule, required credentials, and your scope description.

With each submission we also record the date and time it was received, which form was used, and the status of our follow-up (for example new, contacted, qualified, closed, or archived). We do not collect tracking, advertising, device, or behavioural information through these forms, and the forms do not accept file uploads.

Please do not submit confidential project information, employee medical information, incident records, or other sensitive personal information through the forms.

3. Why We Collect It and How We Use It

We collect this information for one reason: to respond to your inquiry and to discuss potential safety consulting, safety documentation, onsite safety professional, and training services. We do not use form submissions for advertising or automated decision-making, and we do not sell, rent, or share your information with third parties for marketing purposes.

4. How Submissions Are Stored and Protected

Form submissions are stored securely in a private database that is not publicly accessible and cannot be queried from the public website. Submissions are reviewed only by authorised SOS administrators who sign in to a private, password-protected area, and every request for that data is authorised on our server before any information is returned.

5. Connection Information and Security

To protect the forms and the administrator sign-in from abuse, connection information such as an IP address may be processed temporarily for security, fraud prevention, and rate limiting. This connection information is not retained as part of your inquiry record and is not displayed, shared, or used to profile you.

6. How Long We Keep Submissions

Inactive inquiries are deleted or anonymized after 18 months unless the information remains necessary for an ongoing business relationship, contract, legal obligation, dispute, or other documented legitimate business need. Archiving changes the inquiry's status but does not extend the retention period by itself.

Deletion is administrator-controlled rather than automatic: our administrators review inquiries that are approaching or past 18 months and delete or anonymize those no longer needed.

7. Your Choices — Access, Correction, Deletion

You may ask us for a copy of the information you submitted, ask us to correct it, or ask us to delete it. Email c.wortham@sossafetyconsulting.com with your request and the email address you used, and we will respond within a reasonable period. We may need to keep certain information where a contract, legal obligation, or dispute requires it.

8. Cookies & Analytics

This website does not currently use tracking cookies or third-party analytics. A sign-in session is stored only for authorised administrators while they are signed in. If we add analytics in the future, we will update this policy.

9. Children's Privacy

Our services are intended for businesses and professionals. We do not knowingly collect information from children under 13.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised "Last Updated" date.
